Roles and permissions

Every member of an organization has one of four roles: Owner, Admin, Editor or Viewer. Viewers can see every project’s tests, runs and settings, but can’t start runs or change tests and project settings. Editors also write and run tests and manage project setup, including credentials. Admins also manage invitations and billing, and Owners can do everything.

Role In short
Viewer Sees test cases, plans, schedules, runs, explorations and project settings. Can’t start runs or explorations, or change tests and project settings.
Editor Everything a Viewer can do. Also creates projects, writes and runs tests, manages environments, credentials, variables and schedules, starts explorations and applies proposals.
Admin Everything an Editor can do. Also deletes projects, renames the organization, invites members, buys credits and opens invoices and receipts.
Owner Everything. Whoever creates the organization is its first Owner.

Testmode enforces these rules on its servers, not only in the app’s buttons.

Below the Editor role, Settings > General is read-only.

Every role can open the Assistant and ask about the project. Anything the Assistant changes needs the Editor role or above: creating test cases, test plans and variables, editing or disabling test cases, adding test cases to plans, starting explorations and applying proposals. For a Viewer, the Assistant refuses with “You need the Editor role or above to change this project.”

An invitation can make someone a Viewer, Editor or Admin, never an Owner. Nobody can invite someone to a higher role than their own.

A role belongs to one organization and covers every project in it. There are no project-level roles.

One person can have different roles in different organizations. In the demo workspace, Maren Veld is the Owner of Pellbrook Digital and an Editor in Kestrel Outdoor.

Whoever creates an organization during onboarding becomes its first Owner. Owners can do everything Admins can.

Changing a member’s role, removing a member and transferring ownership aren’t available in the app. See what you can’t change in the app.

Open the organization menu at the bottom of the sidebar and choose Profile. The Organization Roles card lists your role in every organization you belong to, and the organization you’re working in has a Current badge.

Owners and Admins can see everyone’s role on the Members tab of Organization Settings.

Testmode hides or disables the controls a Viewer can’t use:

  • No create buttons. Run test, New Test Case, New Test Plan and New exploration aren’t shown, and the project switcher has no Create Project.
  • Read-only test cases. The row menu on Test Cases offers View instead of Edit, Duplicate, Plans… and Delete. The test case opens in a dialog titled Test Case, with the note “You need the Editor role or above to change test cases.” and a Close button.
  • Disabled switches. The switches that turn test cases, test plans and schedules on or off can’t be changed. Hovering one shows “You need the Editor role or above to change this”.
  • Plans without edit controls. A test plan page has no Add Test Case button, no controls on the listed test cases and no settings menu. Its Schedules tab reads “Schedules run this test plan automatically. You need the Editor role or above to change them.” and has no add, edit or delete controls.
  • Read-only project settings. On Settings > General, the fields are disabled with “You need the Editor role or above to change these settings.” On Environments, Credentials and Variables, the add, edit and delete buttons are hidden, and the star only shows which environment is the default.

Some controls depend on a higher role:

  • Delete project on Settings > General appears only for Owners and Admins.
  • Organization Settings and Billing & credits appear in the organization menu only for Owners and Admins.

If your role changes while a page is open, a change you try to save can still be refused. Testmode then shows an error such as “You don’t have permission to change this test case”, and nothing is saved.

Every role, Viewers included, can change their own Display Name and Email Notifications on Profile. Roles can’t be changed in the app. If you need a different role, ask an Owner or Admin to contact the Testmode team (see what you can’t change in the app).
